Terms and Conditions of Organized Events Empty
PostSubject: Terms and Conditions of Organized Events   Terms and Conditions of Organized Events EmptyFri Apr 08, 2011 9:57 am

The following Terms and Conditions are for those who are planning to attend an event organized by the Furcadia Fans team. These terms are in play to be aware of health concerns that may need special attention whilst the meet is in event. It is also a matter of safety, just in case the situation arises that someone may need to be contacted concerning the attendee.

  • The forms that are sent out to gather information about the attendee for the event must be returned 10 days before the event, via email or post. Those what do not arrive will not be taken into the responsibility of the Furcadia Fans organizer. It is possible to hand in the forms on the day, however it is not the most effective way. The forms are an important part of safety, as it may prevent the organizer from aiding you in an accident or emergency. There may also be a registration if numbers increase, so no one becomes lost.

  • All forms filled containing personal information will not be shared outside of the three main representatives; Organizer, Supervisor and Secondary Supervisor. They are strictly confidential and will be used in emergencies and means of contact only. If the situation arises where a member of the emergency services need this information, it will be shared only to them. Other members of the group will not see the attendee’s information without permission given first.

  • All information on the forms should be correct and up to date. False information may prove complications and can also be a safety hazard should something go amiss.

  • Those under the age of 16 are permitted to attend the event, but not without a parent or guardian over the age of 18. Those who are under 16 and attend without a parent or guardian will be asked to return home, as the organizer cannot keep a guide over them and construct the event, even with supervisors with them. It’s also a consideration of law and organizers have been strictly instructed to ensure that those under the age of 16 return home at the next possible time.

  • For those under the age of 18, but over the age of 16, they will need signed consent from their parents (signatures must be photographed and scanned if sent via email) stating that they are able to attend the event. This is important for those of this age, as the organizer will have to keep a close eye on those to ensure nothing will go wrong. This is the reason two other supervisors are needed within the event.

  • The law must be obeyed with each event; attending events do not change the fact that the law is in place for safety and security. This includes the law on Alcohol Agues and Drugs.

  • Attendees must respect the rules that have been set with the place or places that are attended during the meet. Sticking by the rules prevents the fun being spoilt by others.

  • Respect must be given towards the organizers and supervisors and their commands must be listened to. They tell the attendees to do something for a reason, whether it be for safety, security or personal reasons for any of those attending the event. Disrespect may exclude you from other events. Meeters have taken the time to organize these events and this must be taken into consideration. Feel free to leave the event whenever you’d like, rather than staying around if it’s in the intent to ruin it for others.

Please note that it's not a necessity to fill out the forms sent, and they will not be sent to you unless you request. Feel free to "turn up" at any event. However, please note that if you do this, we will not be able to take responsibility if something goes amiss (But we don't just leave you out or leave you hurt!).

If you would like a form to fill out for safety reasons, please just ask Smile.
